Venue Notes
Please park on the New Inn Lane car park on arrival and head towards the main school reception to sign in.

Do not use the Jubliee Road entrance.

This camp is Ofsted Registered so we can accept childcare vouchers/payment through the government tax free childcare scheme (childcare choices).

If your family uses childcare vouchers or pays for our holidays camps via the government tax free childcare scheme, please use discount code EYQ146 when booking. This will make the amount payable as zero, and we will then contact you via email to arrange payment.

Once you have made the payment, please send your payment reference number, payment amount and the date of your payment to Lewis Bruce via email at lbruce@time4sportuk.com

Once we have received payment, your booking is confirmed. Please note, we don’t currently accept childcare vouchers / tax-free childcare as payment for the Trentham Gardens adventure kids’ club.

We welcome 4 year olds/reception children to join in the fun kids' camps. Owing to an OFSTED ruling, reception children (no matter if they are 4 or 5) are only able to stay for a maximum of 4 hours.  Please note that, without exception, all children who attend our clubs must be able to use the toilet independently. Children in year 1 and above can attend for a full day with wrap around when available.

Please read the below information carefully, before dropping off your child/children to their first session.

What to bring?
We ask that you send your child into camp in clean clothes, suitable for sporting activities and that they bring all their belongings in clearly labelled backpack/bag.

When attending a full day their backpack should contain-
a large, filled water bottle
a lunchbox with their lunch, plus a snack for the morning and afternoon (NO NUTS)

If attending a half day, their backpack should contain-
a large, filled water bottle and a snack (NO NUTS)

Plus –
Any medication your child needs
Sun cream and sun hat (when sunny)
A waterproof

Please ensure all property is clearly labelled.

All children must be fully toilet trained to attend camp. If your child has a medical reason for needing toilet assistance, please ensure that we have full details of this ahead of camp. This can be noted on the medical information section on their Class4Kids account. 

If your child has any other medical issues that we need to be aware of, again please make sure this is noted in full on their Class4Kids account. 

Arrival at camp

Registration will take place upon arrival. Camp Managers have a registration system on camp phones and will mark your children ‘in’ as they arrive to camp. This will take place in the main school reception at each venue.

Parents MUST drop children off at their children at the set start times – all camps start at 8.30am.

Parents will not be allowed into the school due to safeguarding.

Groups will be supervised during mealtimes by their group coaches.

Collection at the end of the session/day

Only one parent should be present for collection.

Parents will arrive at the welcome desk and the camp manager will co-ordinate the collection of children from their groups with support of group leaders.

Parents MUST only collect the children at their set collection times –
12.30pm – half day
3.30pm – full day

PLEASE NOTE – we understand that sometimes things crop up and children are collected later than they should be. However, persistent lateness will result in a £20 fine, payable before the child’s next T4S session. Thank you for your co-operation with this.  

Refund/Exchange Policy
Here's our policy for exchanges and refunds regarding our holiday camps. Please note, all camp requests need to be emailed to info@time4sportuk.com

If you need to change the date(s) that your child attends camp, we'll be happy to accommodate your request, but kindly give us at least 7 days' notice. This way, we can offer the spot to another child and make the necessary arrangements.

If your child is unable to attend the camp due to illness, we'll provide a credit for a future camp day. It would be helpful if you could let us know in advance, but we understand that it's not always possible, especially if your child falls ill in the morning. In such cases, please notify us via email before 8:30am.

We don't offer refunds for holiday camp fees, unless, in the unlikely event, we are unable to provide the camp as scheduled.

Please note that all holiday camp requests will be handled at our discretion. We periodically review our refund and exchange policy, and it may be subject to change. COVID-19
We will be implementing social distancing procedures and we will continually work to keep procedures up to date, following the latest government guidance.

If our holiday kids’ camp venue is closed due to Coronavirus, we will first offer you an alternative venue. If this is unacceptable or not possible due to complete closures, we will offer you credit for the total booking made or a full refund.

CHILDCARE VOUCHERS: If booking through childcare vouchers. When booking please use discount code EYQ146 and we will contact you to arrange payment.

CLOTHING: We recommend participants wear normal playing kit i.e. shorts, socks, t-shirt and trainers. We do have use of indoor and outdoor facilities and if the weather is poor we generally will be inside. However we do advise for children to bring a rain jacket. When the sun is strong, sun-cream is recommended. Note suncream needs to be applied by the parent/guardian. before the session and topped up by the child during sessions, if needed. If the camp is a football camp it is advisable that the children bring their football boots and shin pads. For a cricket camp, children should bring any kit they have and we can supply the additional kit during the camp week.
No jewellery to be worn during sessions. Long hair to be tied back.

For younger children we also recommend a change of underwear/bottoms, as even though children need to be toilet trained to attend our camps, the younger children can often get over excited or forget to go the toilet when needed.

FOOD/DRINK/MEDICATION: We at Time4Sport don’t supply any food for break time at our camps so that is down to you; if possible, make it as healthy as possible and make sure you provide plenty of fluids for your children (non fizzy). All children who attend a full day or afternoon only will require a packed lunch, at least one drink (ideally a water bottle so it can be re filled) and a snack for break time. We have a NO NUT policy. For any children who require medication, it is vital they bring all medication required to each day of the camp i.e. inhalers. Medical information must be stated on the booking forms.

Time4Sport UK Ltd cannot be held responsible for any loss or damage to any personal belongings whilst attending a Time4Sport activity. Please ensure that no valuables are taken to any venue by your children. We recommend that children don’t bring hand held computers or anything similar to our camps. If these items are brought, we will not allow these to be played with during activities.

CAN 4 YEAR OLDS ATTEND?
We welcome 4 year olds to join in the fun kids' camps. Owing to an OFSTED ruling and insurances, our 4 year olds are able to stay for a maximum of 4 hours, therefore our sessions for 4 year olds run from 8.30am-12.30pm. Please note that, without exception, all 4 year olds who attend our clubs must be able to use the toilet independently. Children aged 5 and above can attend for a full day with wrap around.

PHOTOS & VIDEOS
We would like to take photographs and videos of the camps for our website and potentially promotional material. Please tick the box if you don not what your child to be photographed.

DROP OFF/COLLECTION: As children need to be registered every day before the start of camp days or weekly coaching courses etc, it’s important that you arrive on the time scheduled for the coaching session/day, so we can start our coaching session on time. There is a £15+VAT charge for early drop off and late collection. This is charged if children are dropped off more than 5 minutes early or collected more than 5 minutes late for their sessions.

Please make sure you update any changes to mobile numbers or email addresses on your account so that we know we can get hold of you easily if needs be. Please also let us know if someone other than yourself and/or the child’s parents will be dropping off/picking up each day, any unauthorised person/persons will not be permitted to pick up your child.
